Easy File Management – Video Tip

You can easily delete and rename files from within almost any computer program. 

To delete a file or folder:

  1. Click  File from the menu of any program
  2. Click  Open
  3. In the window that pops up, click ONCE on any document you want to delete
  4. Push Delete on your keyboard.  Repeat as many times as you would like.

Changing file-program associations – Video Tip

Have you ever wondered how to get your picture files to open directly in your image editing program? Read on to learn how to get your files to open where you want them to when you double-click on them. For example, by default JPEG picture files open with Microsoft Internet Explorer. Maybe you want it to open with Adobe Photo Deluxe. Here’s how:

  1. Find a file on your computer that you would like to have open in a different program. 
  2. Hold down the Ctrl and Shift keys on your keyboard 
  3. RIGHT Click on the target file (while you are still holding the Ctrl + Shift keys) (Windows 98 & Me users only)

Customizing Apple’s Mac OSX Finder Tool – Video Tip

Since I’ve been featuring tips on file management this week, I thought I would demonstrate how to work with and customize the Mac OSX file management tool known as Finder. The finder is quite powerful as is, but sometimes having quicker access to tools you use often is helpful. Watch this short video to learn how to do just that.

Choose how many recently opened files show in Microsoft Office

Office 2003 OptionsIn almost any program where you can create, save, and edit documents, clicking the File menu (or the Office orb in Office 2007) shows a list of your most recently used documents for that program. With Microsoft Office, you can control exactly how many recent documents are shown.

With Microsoft Office 2003 applications (Word, Excel, PowerPoint, etc) and all versions prior, you control this option by following these steps in any of the applications:

  1. Click Tools –> Options
  2. Click the General tab
  3. Under the Recently used file list option, enter a number between 0-9
  4. Click OK

 

Office 2007 Options

 

 

With Microsoft Office 2007 options, follow these steps to control how many recently used files show:

  1. Click the Office orb icon in the upper left of your screen
  2. Click Word (or Excel or PowerPoint) options at the bottom of the menu
  3. Click Advanced
  4. Scroll down under the Display category and enter a number between 0-50 in the Show this number of recent documents box
  5. Click OK

 

Finding Files You Thought Were Lost

Windows contains a powerful search agent to look for those lost treasures. Follow these steps to find your lost files.

1. Click on Start
2. Click on Find
3. Click on Files or Folders
4. In the Named box, type any part of the file name you lost
5. Make sure that the Look In box says My Computer and the box is checked to include Subfolders
6. Click on Find Now
7. The results will appear below the find box

NOTE: When you find your file, before opening it, make a note of where it is saved by looking at its location in the In Folder column.
