Ubuntu – Day 7

Today marks the one week mark that I quit using my Windows Vista machine and started using Ubuntu exclusively. I pledged to use Ubuntu only for two straight weeks to really put the operating system through the paces of daily use. After a rough start with email and fighting spam, I am almost in a groove of using this free and robust operating system. I think that Microsoft has the work cut out for themselves over the next few years to maintain their huge share of the operating system pie.

Turns out that real tech guys follow the same advice

I worked with a business client today who runs their cash register computers from a "server" computer in the back of the store. Their server is really a normal computer that just shares the data about the stores customer's and products. The actual program exists on each of the register's computers. In larger businesses like banks, Home Depot's, etc, true servers deliver the program and data to the cash registers and need to be very powerful. In the situation I described with my client's system, the "server" computer doesn't do a lot of work so it doesn't have to be too powerful.

When to use CDs , DVDs or flash drives

With so many options for backing up today, people often get confused on which method is right for them.

Typically there are three methods for backing up:

1. CD or DVD

2. Flash drive

3. External hard drive

The method you choose should depend on the type of backup you are doing.

CDs hold 700MB (about 300 pictures) while DVDs hold 4,700MB. But the amount of data that they hold is not as important as what you use the disks for. CDs and DVDs are best for archiving data that will likely never change such as pictures, old word processing documents, important tax or financial records, etc. Once you write information to a CD or DVD consider that disk finished and do not try to add more to it.

Windows Vista Integrated Search – Video Tip

As you know, I am not thrilled will Windows Vista. However, one feature I did find helpful since Day 1 is the integrated search. Vista constantly indexes your hard drive…probably one reason it feels slower than XP. Indexing means that Windows looks through all user generated files like word processing documents, email, spreadsheets and other user files. It then analyzes the file names and the content of these documents and stores that information in massive index files. Think of it as a "Google" for your own computer. Using the integrated search, you can type in a few characters and get instant results of matching documents or programs on your computer.

I'm torn about this feature because I feel that it makes the user a little lazy in really understanding where the data actually is stored, but the speed of the search is undeniable.

I mentioned that the Vista integrated search is sort of like a Google for your machine. Well, if you are a Windows XP user, you can get this same functionality with a tool from Google called Google Desktop or from Yahoo using the Yahoo Desktop .

I made a bold statement on Saturday

Well, it was bold for me anyway. I stated (and Adam should have the audio up soon for the exact quote) that computer users who have not learned how to Copy and Paste should unplug their computers are put them on the curb for someone else to pickup. 

The statement seems a little extreme and at the time, it was meant for a giggle in the context of the show. However, the more I thought about it, the more it made sense. The ability to Cut, Copy, and Paste is an extremely useful and easy to learn tool. Tutorials can be found everywhere regarding the subject (including right here on this site). I think it is an absolutely essential tool because it can be used in almost every aspect of computing except Solitaire. 

When to use a CD for backup

Our regular listeners hear us talk about this subject often, but it bears repeating as much as we can talk about it for your data's safety and your sanity. Backing up to CD's is a multi-step process and all the steps need to be followed for it to go right.

CD's work great for archiving data that won't change. This includes pictures, music, your finished novel, etc. CD's should only be burned ONE time. CD-R's have the capability of being written to many times, but this also increases the likelihood of problems with the CD. Burn them once and store them in a safe place.

Format Painter – Video Tip

I demonstrated today's tip in Microsoft Word, but it also works in all the Microsoft Office programs (Excel, Access, Publisher, Outlook, etc), WordPerfect, OpenOffice and others.

The tip is simple in its performance and gargantuan in its function. Format Painter copies formatting from one location and applies it to another. In the video example below, I formatted one line of text to have a particular look and it took 31 clicks of the mouse. Using Format Painter, I copied the look of that text to some plain text in just three steps. This technique comes in handy when formatting longer documents, spreadsheets, newsletters, etc and can save you a boat-load of time. Here's how to do it:

  1. Highlight the text that has already been formatted to your liking using your mouse.
  2. Click the Format Painter button. format painter button
  3. Highlight the text you want to apply the formatting too.

That's it!

Tip Within a Tip:

If you DOUBLE-CLICK the Format Painter button, you can apply the formatting changes to different parts of your document over and over until you unclick the Format Painter button.

Always a love-hate relationship

Lately, I have been working with many Windows 98 and Me computers (and a few Windows 95). For basic functions, limited Internet browsing, solitaire, email, and word processing, these computers work fine especially with a high speed Internet connection. However, it is imperative that Windows 98 and Me users NOT install any software that was developed after 2003. Your hardware and software configuration may appear to meet the minimum requirements of the software, but let me assure you that the product will not work optimally and your system will slow down considerably.

This especially applies to security software. For Windows 98 and Me users: ABSOLUTELY, POSITIVELY NEVER INSTALL NEW VERSIONS OF NORTON OR MCAFEE SECURITY PRODUCTS.

Microsoft Word Features You Might Have Overlooked

Most computer users (myself included) never get close to using everything a piece of software has to offer. Microsoft Word is a great example of this theory. You could work with Word for years and never know all the power that it is possible of yielding. This week, I'm going to point out what I think are some of the features you are likely to use if you knew about them. Thesaurus

Sure you know how to use Word's spell check, but did you know you have access to a pretty good thesaurus as well. Here's how:

1. Highlight a word
2. RIGHT Click on the word
3. Click Synonyms from the menu
4. If you like one of the suggestions, click on it and it will replace the original word for you.

Web Appliances revisited

I wrote a number of months ago about the need for a new web appliance. A web appliance is a device that only accesses the Internet. Web TV (now MSN TV) is the only device that sort of falls in this category. What I envision (and wish I had the knowledge to build) is a flat screen monitor with built-in speakers and a cordless bluetooth connection to talk to a mouse, keyboard, and a printer. It would also have a card reader to interact with a digital camera and a wireless and/or Ethernet port for high speed Internet access.

It would not have a hard drive or anyway to load applications. All programs and document storage would be online ala Google Docs and Gmail. The vast majority of clients I work with do only three or four things: Internet, email, games, and maybe some word processing and/or digital photography. All of this (and more) can be currently accomplished online thus circumventing the need for anything but an Internet connection. Also, this type of user would benefit greatly by not needing to worry about backup and where their documents are when they need them. It would take away the need for the user to learn and understand file management (which is sorely missing for most computer users).
